All bookings are subject to the following terms and conditions:
Your contract is with AlpineTrav Treks & Expeditions Pvt Ltd, located at Bouddha Jorpati 06, Gokarneshwor, Kathmandu, Nepal. Our terms and conditions have been carefully crafted with respect for our clients, our administrative staff, and our guides, and we strongly recommend that you purchase travel insurance to protect your investment.
1): All bookings are made through AlpineTrav Treks & Expeditions.
2): It is an absolute basic condition that you accept that this is an adventure holiday in one of the most remote areas of the earth. This requires some flexibility. We should only take the day-by-day itinerary as a guide for you. We cannot be held responsible for delays caused by international or domestic laws, strikes, government regulations, weather or natural disasters, riots, arson, public vandalism or any act of God etc. In such cases, AlpineTrav Treks & Expeditions will not be liable. A suitable alternative will be provided. Which can be decided by mutual agreement. If an agreement cannot be reached, AlpineTrav Treks & Expeditions will not be liable.
3): Once you send us the Trip Booking Form, a provisional booking will be made and we will hold it for two (2) weeks and allow you to send us the Trip Deposit. When you are ready to confirm, a 20% of the total trip cost will be required as a non-refundable Trip Deposit. Your booking will be confirmed by email once we have received your signed copy of the Booking Form, Passport Copy and Trip Deposit (20% of the trip cost). A Trip Confirmation Letter will be sent once we have received all the required documents and the Trip Deposit.
4): The balance payment of 80% can be made upon arrival in Kathmandu via cash. For High Altitude Expeditions, Peak Climbing, Tibet Tour and Bhutan Tour, India Tour you are required to pay the balance of 80%, one (1) month prior to the tour start date. But, please note that we discourage payment by credit card because this incurs an additional service charge that we have not included in the cost of your trek.
5): All travel costs are shown in USD unless otherwise noted.
6): This deposit fee of 20% is non-refundable in the event of any cancellation. The deposit fee of 20% is basically a non-recoverable cost that is incurred when booking. You lose money, you have paid for the trip, it is even worse if you need to cancel the trip after confirmation. Therefore, it is recommended to insure with travel protection. Please see our Insurance page.
7): If you wish to reschedule your trip for a future date due to any circumstance, we will transfer your travel deposit and any other payments made to your scheduled future travel date. Please note that any cancellation fee charged to us by accommodation provider, airlines, travel agents or third-party tour and transport operators will be deducted from the travel deposit. You will also be responsible for any expenses (international tickets, visa, insurance, etc.) or additional cost incurred due to the change in travel date.
8): If you are unable to reschedule your trip and choose to cancel your trip for any reason, your trip deposit and any other payments will be forfeited and will not be refunded as cancellation fees. Due to the nature of the trip and the “no refund” policies of government tourism offices and cancellation fees imposed by accommodation providers, airlines, travel agents or third-party tour and transport operator fees, we must adhere to this strict refund policy.
9): Trips will not be cancelled/postponed unless we are forced to do so due to unusual or unforeseen circumstances, such as major natural disasters, major political unrest or war. If we cancel/postpone a trip, we will withhold your deposit (non-refundable costs such as flight ticket cancellation, hotel booking cancellation, permit fees, employee insurance, etc.) and offer you the option to reschedule the trip to a later date. At your convenience. Schedule at no additional cost. However, any price increases (hotel, flight, permit, etc.) will apply to future departures. We will not be liable to refund any additional costs you have incurred (such as insurance, visa and other incidental costs). If you cancel your trip and are unable to reschedule the trip for another date, your trip deposit will be forfeited in accordance with our standard cancellation policy.
10): If you do not show up at the designated meeting point on the scheduled date, we will consider you late and wait for you to contact us with your new expected arrival date. If you do not contact us within 48 hours, we will assume that you have canceled the tour. No refund will be given for any money paid.
11): In the event that the initial return trip is shortened due to the customer’s own will or reasons, AlpineTrav Treks & Expeditions will not be liable to refund any unused days and services. All expenses (hotel, meals, transfers or any other expenses) after leaving the itinerary will be borne by the customers themselves.
12): Lukla/ Kathmandu Flight Cancellations
Flights between Kathmandu and Lukla, where the Everest region trek/climb begins and ends, are generally weather dependent. In the event of inclement weather, all flights will be canceled for the day. In the event of a flight cancellation, we will attempt to transport you by chartered helicopter but you are responsible for additional cost in this event which may range from $300 to $500 or more depending on the number of people.
13): We advise you to take out travel insurance before joining the tour/trek. This should include adequate cover for trip cancellation and interruption, baggage loss and delay, medical expenses, any cancellation, helicopter evacuation and emergency repatriation. You must provide documentary evidence of this. If you do not have travel insurance, you must have a credit card with a limit of at least US$10,000. Travel insurance is essential, especially for treks that go above 3000 meters.
14): The Trek Information Sheets and dossier give information and conditions relating to the trip, and are considered part of the contract and you should therefore be fully aware of their contents. However, the itinerary is an indication of what the group must accomplish, but not a contractual obligation – change may be made due to exceptional weather, flight cancellations, illness or other unforeseen circumstances – no refunds will be given for unused services or unfulfilled dreams. However, we offer our sympathies.
15): All information and advice provided (weather, trekking equipment, visas etc.) is given in good faith but without our responsibility.
16): By signing these Terms & Conditions you confirm that your image may be used free of charge by AlpineTrav Treks & Expeditions for promotional purposes, printed promotional items and promotional presentations, unless you have notified us in writing that you do not wish your image to be used for these purposes.
17): The Member agrees that the Company’s staff may use the Member’s photographs and/or sound and/or video recordings during the trek/climb for all forms of media support, including but not limited to advertising, promotion, communication and training purposes, including, but not limited to, brochures, films, websites (especially on social media) and newsletters. The Member grants the Company full image rights relating to the above worldwide in perpetuity. Any and all image rights may be freely assigned by the Company.
18): Our trip costs are subject to variable and seasonal pricing, both of which are standard practices within the travel industry. This means that the cost of our trips may vary at any time based on demand, market conditions and availability. It is possible that different customers on the same trip are charged different costs. If, you like the price you see, your best option is to book at that time.
19): You agree to abide by the leader’s authority. By signing the booking form you accept the tour leader’s decisions which may affect the group or individuals. The tour/trek leader will provide you with full information about your trip with AlpineTrav Treks & Expeditions upon your arrival.
20): If you have a complaint that cannot be addressed immediately with the Tour Leader or you are not satisfied with the response, please notify us in writing within ten (10) days of the end of the trip. We will attempt to reach an agreement; this process will be in accordance with the laws of Nepal.
21): Emergency Medical Evacuation: Member acknowledges that in the event of a life-threatening situation for the Member, your Tour Leader/Guide/Climbing Sherpa may call for a rescue helicopter, even if not approved by the Member’s insurance company. In such event, Member agrees to support all related costs and to indemnify the Company for any costs resulting from the rescue.
22): Assumption of Risk: I understand that participation in the proposed activities involves inherent risks, including but not limited to those described in the description of this activity. Having read this form, I am fully aware of the risks and dangers associated with the activity and have therefore voluntarily chosen to participate in the activity. I voluntarily assume full responsibility for any risk of loss, property damage or personal injury that may occur as a result of participating in the activity. I also acknowledge that AlpineTrav Treks & Expeditions accept no responsibility for the actions of individual and companies supplying good and/or services as part of the activities or for any additional costs for delays or complications beyond our control.
“The terms and conditions listed below are as follows”
Cancellation:
1) Cancellation 45 days prior to departure – Full refund.
2) Less than 30 days before departure – 50% of the total cost.
3) Less than 15 days before departure – 25% of the total cost.
4) Less than 10 days or after the starting date – Full charge – No refund.
Note: This is based on your scheduled arrival date in Nepal. The tour will not be cancelled from our side unless we are forced to do so because of unusual or unforeseeable circumstances, such as a major political unrest or war. We shall not be liable to refund any additional expenses that you may have incurred (such as insurance, visas, vaccinations and other incidental costs).
