Booking Process:

All bookings are made through AlpineTrav Treks & Expeditions, located in Boudha- 6, Jorpati, Kathmandu, Nepal. We take your travel reservations seriously at AlpineTrav Treks & Expeditions. Our booking process will require some extra time and paperwork from you, but this helps us better vet our clients and tailor the experience and program to their expectations. If you have any questions about our application process, please feel free to contact us.

Supporting Materials for Trek/Tour & Peak Climbing:

a) Submit the personal registration form: (If you do not have all the information at the time of filling the form, you can fill in everything you have and send it to us, the remaining information, you can give us after you arrive in Kathmandu).

b) Send a photocopy of your passport via email.
c) Send a passport-size photograph via email.

For Expeditions Only – You must also send us the following documents:

a) Health Certificate (For Expeditions Only):
A health certificate is an official document that shows the applicant’s health status. It is written by a doctor and states the best shelter for going to high altitudes.

b) Personal Bio-Data (For Expeditions Only):
Your bio-data summarizes most aspects of your life.
Note: If you are under 18 years of age (For Peak Climbing Only):
You must be accompanied on the climb by a parent or legal guardian, and both you and your parent or legal guardian must sign all forms.

Further Information:-

Passport and Photo:
According to AlpineTrav Treks & Expeditions programs, we require a high-quality copy of the first two pages of your passport and a passport-sized photo showing your full name, signature, date of birth, passport number. To avoid visa issues, please ensure that your passport is valid for at least 6 months after your trip. Please send a copy of your passport and a passport-sized photo (scanned) via email. We encourage you to send your application materials via email (inf@alpinetrav.com).

Payment Information:

AlpineTrav Treks & Expeditions does not accept a portion of the tour fee at the end of your trip. All tour fees must be paid in full before your trip begins. You will be required to pay a 20 percent down payment of the total price for advance flight and hotel bookings and permit processing. Payments are made via bank transfer, or Western Union, or Money Gram or any money transfer. Please, use any method of transfer as per your convenience. For advance payment, we will send you the company bank details via email, or you can ask. Please note that we discourage payment by credit card because this incurs an additional service charge that we have not included in the cost of your trip.

Balance Payment:
Regarding your tour fee, you will pay in cash in any currency upon arrival in Kathmandu (please note that we discourage payment by credit card as it incurs additional service charges not included in the cost of your tour). For expeditions, 50% amount can be paid before a month of your arrival.

Last Minute Booking:
We accept your last minute booking only in case of Nepal tour, but last minute bookings will not be accepted for India, Bhutan and Tibet tours.

Cancellation/Refund:
AlpineTrav Treks & Expeditions reserves the right to cancel the tour for any reason prior to departure. If the tour/travel services are cancelled due to any unavoidable/reason, you must be notified in writing/message.

7 days prior to arrival:
25% of the tour cost (beside taxes, transportation, permits and other payable costs, unless otherwise stated). 48 hours prior to arrival – 30% of tour/trip cost (except taxes, transportation, permits and other paid costs) and less than 48 hours or no event – non-refundable.

Incomplete Tour:
The amount paid for Trekking, Sightseeing, Rafting, Climbing, Expedition, Jungle Safari or other days will not be refunded due to the customer’s own problems. If customers want to do more tours than the itinerary, they can get a refund from the basic tour per day but the permission must be with the guide/ leader. The expedition guide representing AlpineTrav Treks & Expeditions is entitled to all rights during your Tour, Trekking and Expedition.

Unforeseen Circumstances:
If AlpineTrav Treks & Expeditions cancels your tour due to unforeseen circumstances such as war, natural disaster, conflict, adverse weather, etc., we will be happy to send you to an alternative tour of the same standard. Even if it does not suit your personal interests, all money paid to our company will be refunded. But remember, any other expenses you incur as a result of this booking are entirely your responsibility.

Personal Insurance & Travel Arrangements:
We expect clients to be in good health and have the level of physical fitness required for their specific program. Please consult your doctor before coming to Nepal. All clients are required to carry approved travel insurance that covers medical evacuation, repatriation, and medical expenses for the duration of their program.
